Booking Terms and Conditions
These Booking Conditions form the basis of your contract with us.
1. Contract
The Contract for a short-term holiday rental shall be made between the Client named on the booking system and Pentrehobyn Hall.
The Contract shall be governed by UK Law. It will be entered into when the deposit is processed and Pentrehobyn Hall issues the confirmation letter.
The Contract will be subject to all the following booking conditions. The Client should check the confirmation form carefully.
2. Payment
A deposit of £500 of rental fee is payable if the booking is made more than three months before the commencement of the rental.
The balance of the rental fee and a security deposit of £500 for Pentrehobyn Hall and Coach House and £250 for Ty Newydd, Pistyll and Cottage (see further details 3. below, applicable to all rental) is payable at least 10 weeks before the arrival date. Non-payment of the balance of the rental on or before the due date shall be construed as a cancellation
of the contract by the Client. For bookings made less than 10 weeks before the commencement of the rental, the total rental fee is payable. The security deposit must be paid no less than 2 weeks prior to arrival with cleared funds. Payment can only be accepted by recognised payment card or bank transfer and must be denominated in sterling (UK pounds). For properties booked less than three weeks before your arrival date your booking must be paid for in full, by bank transfer or card transfer along with the security deposit.
We do not accept cash or cheques. We do not accept payments in instalments.
3. Security Deposit
A security deposit of £500 for Pentrehobyn Hall and Coach House and £250 for Ty Newydd, Pistyll and Cottage is payable no later than 2 weeks before the booking date.
You are required to keep the property clean and in good order and will be responsible for any breakages (see 10. and 11. below).
Accompanied pre and post inspections with guests are available upon request in advance. We will deduct from the Security Deposit the cost of remedying any breach
of these obligations together with the cost of any service or goods provided. The whole amount, or the balance after any deduction, of the Security Deposit will be refunded to you following the end of the letting. Please note from the agreed return date some credit and debit cards can take up to 14 days to receive the refund and it to show on your statement.
4. Cancellation
Any cancellation made by the Client for whatever reason shall be in writing and emailed to Pentrehobyn Hall at the following email address: [email protected].
The client should ensure receipt of this email and call for an acknowledgement and speak to someone if none is received by return.
Pentrehobyn Hall will endeavour to re-let the property by making the dates available again on the website and all portals and agents used at that time.
If we are unable to re-let, the full balance owing will remain payable by you and the deposit will not be refunded. If Pentrehobyn Hall only succeeds in re-letting the property for part of the period booked it shall refund an amount equal to the money paid less (1) the rental for the period which is not re-let and (2) an administrative charge of £100. If Pentrehobyn Hall is unable to re-let the property at all then all monies paid by the Client shall be forfeit to Pentrehobyn Hall. Any balance owing will remain payable by you. Pentrehobyn Hall strongly recommends Clients take out Cancellation Insurance as the
above refund terms are non-negotiable.
5. Changes of Date
Pentrehobyn Hall may consider a request from a client to change the dates of the booking after confirmation has been issued.
Agreement will be given where the request is received more than six months away from the start of the booking, subject to availability of the property.
6. Period of Hire
Rentals commence, unless otherwise notified, at 4.00 pm on the day of arrival and terminate at 10.00 am on the day of departure.
We reserve the right to charge a reasonable late check out fee.
7. Noise
Our properties are in tranquil locations and consideration must be shown and always demonstrated; this is not the venue for loud music or noise.
Please be aware that the person making the booking is responsible for ensuring that the noise policy is always adhered to by all members of the group.
Please see Appendix One for the noise policy.
8. Use of Property
The number of persons occupying a property must not exceed the maximum number stipulated on the booking form.
The property will be used for personal and domestic purposes only. The property shall not be used for any commercial purposes without the written consent of Pentrehobyn Hall. Pentrehobyn Hall reserves the right to refuse entry to the entire party if these conditions are not observed.
9. Complaints
Should there be any cause for complaint during the occupation of the property it must be notified promptly to the Housekeeper of Pentrehobyn Hall and in case of serious problems confirmed in writing. Contact details will be given to you on arrival.
10. Breakages or Damage
The Client is legally bound to reimburse Pentrehobyn Hall for replacement, repair, or extra cleaning costs on demand.
These costs will be deducted from your security deposit but are not limited to that amount. You will be billed for the difference between this and the actual cost of the repairs.
11. Care of the Properties
The Client shall take all reasonable and proper care of the property, inside the house and in the garden (if applicable), and its furniture, pictures, fittings, and effects in or on the property and leave them in the same state of repair and condition and in the same clean and tidy condition at the end of the rental period as at the beginning. Failure to meet this standard will result in a cleaning charge against your cautionary deposit.
12. Health and Safety when staying at Pentrehobyn Hall, Coach House, Ty Newydd, Pistyll and Cottage
The Client shall take all reasonable and proper care and observe the notices and rules relating to Health and Safety around the property, grounds, and river.
Clients should note that no swimming is permitted in the river. Children should always be supervised around the grounds and river.
Fires in the properties
Please refer to the Housekeeper if you wish to use the fire.
Fire prevention
Within the properties, fire extinguishers are situated on each floor and fire blankets near the cooking points for guests use in the event of a fire.
In the event of an emergency guests should dial the emergency services on 999 immediately. Pentrehobyn Hall has a monitored fire alarm.
13. Pets
Well-behaved pets are allowed at Pentrehobyn Hall and Coach House on the condition that any pets have their own baskets / sleeping arrangements, do not go upstairs and that no animals are left alone in the house. The charge for animals is £75 per pet per stay. This does not include picking up dog mess.
14. No Smoking Policy
All our properties are entirely non-smoking.
15. Liability
Pentrehobyn Hall (for itself, its employees, and agents) shall not be liable to the Client or third parties for any accident, damage, loss, injury, expense, or inconvenience, which may be suffered, incurred, arise out of or in any way connected with the rental. No term of the Contract is enforceable under the Contracts (Rights of The Third Parties) Act 1999 by a person who is not a party to the Contract. If the property which the Client has booked becomes unavailable or unusable for some reason prior to the date of a booking, then Pentrehobyn Hall’s obligation will be to (1) use their best endeavour to find a suitable alternative property or failing which (2) to reimburse the Client for any monies paid.
16. Warranties
Pentrehobyn Hall does not warrant and is not responsible for the accuracy of any verbal information given or statements made by its agents or staff.
17. Website and advertisements
The Owners aim to ensure that the information and descriptions provided are accurately conveyed on the official website and any authorized third-party websites or advertisements. There may be small differences between the actual accommodation and its description as we are always seeking to improve services and facilities.
There are many unauthorised websites listing holiday cottages, we cannot accept responsibility for any mis-description by these sites. Occasionally, problems mean that some facilities or services become unavailable, and if this is the case, we will tell you as soon as reasonably practical after we have been made aware of the situation. Similarly, we cannot accept responsibility for any changes or closures to local area amenities or attractions mentioned on the website or advertised elsewhere. We reserve the right to adjust the prices of a break if there has been an error in displaying an incorrect rate on our website or any associated third-party websites.
18. Right of Entry
Pentrehobyn Hall shall be allowed the right of entry to the property at all reasonable times for purposes of inspection or to carry out any necessary repairs or maintenance.
19. Children
Guests must accept responsibility for the safety of their children who must always be supervised.
20. Cancellation Insurance
We advise all our customers to obtain cancellation insurance. We advise that you contact an insurance broker for a quote for travel or event insurance.
21. Pricing
We reserve the right to change the advertised prices of our properties at any time without prior notification.
We will confirm the price of your holiday at the point of booking and the rental price agreed for the property (excluding any extras), as specified on the booking form and in the confirmation letter, will remain firm and will not be changed under any circumstances.
TERMS AND CONDITIONS APPENDIX ONE
NOISE POLICY
Pentrehobyn Hall, Coach House, Ty Newydd, Pistyll and Cottage are set in its own land. We do have neighbours close by whose needs we respect – and who are used to enjoying a peaceful, tranquil environment in this lovely location. We therefore ask all our guests to show consideration to the environment and our neighbours in all matters, and especially regarding noise. To help ensure everyone’s time on The Pentrehobyn Estate goes well, we ask you to respect the following noise rules:
1. After 11pm and before 7am please use the terraces and gardens around the house as quiet areas.
2. Please show consideration for our neighbours in the early morning and late evening.
3. If you are expecting deliveries or taxis, please provide clear directions to Pentrehobyn Hall in advance.
4. For weddings, music needs to be turned down by 12 midnight. This will be discussed with you at the time of booking.
Most of our guests will of course behave with great consideration to our neighbours and would never intend to offend but observing our noise policy will remove any potential for the harmonious environment to be disturbed.
